The Department of Development and Alumni Relations (DAR) assists Vanderbilt University in securing the resources, both human and financial, that are required to achieve its mission and goals. The Department is responsible for the identification, cultivation, solicitation and stewardship of individuals and organizations whose charitable objectives are consistent with those of Vanderbilt University teaching and research programs. In support of its purpose and in response to existing and emerging needs of Vanderbilt University, DAR is seeking an experienced and proven professional to serve as Assistant Director of Stewardship in the Office of Stewardship.

Duties and Responsibilities:

Under the supervision of the Senior Director of Stewardship, the Assistant Director of Stewardship will have the following responsibilities:

Stewardship Reporting

  • Assist the Senior Director in establishing working timeframes and deliverables for annual stewardship reporting of endowed and non-endowed funds, including endowed financial reporting, scholarship and chair reporting, and other newly established stewardship projects;

  • Work as part of the stewardship team to ensure timely and accurate reporting of endowed and non-endowed funds;

  • Provide regular reports to the Senior Director regarding progress of stewardship reporting.

Actively maintain and update key stewardship process databases for key constituencies and donor populations .

  • Proficient knowledge of database query languages and tools (e.g. Microsoft Access and SQL) preferred.

  • Proficient knowledge of Microsoft Excel (e.g. formulas, functions and pivot tables) preferred.

Work with the Senior Director of Stewardship to create and enhance systematic processes to optimize business functions within the Office of Stewardship.

Work collaboratively with the colleagues to ensure project deadlines are met and executed with accuracy, quality and integrity. Duties will include, but are not limited to:

  • Continuously compile, review and analyze project outcomes against established goals, objectives and timelines;

  • Recommend process improvement for the program and services and;

  • Use appropriate resources to effectively and efficiently resolve problems.

Manage and maintain university-wide endowed scholarship information.

  • Responsible for stewardship of scholarship donors, including student announcement letters, student impact reports and student graduation reports.

  • Serve as the stewardship liaison to the appropriate schools:

  • Inform liaisons of stewardship timelines and project needs;

  • Facilitate school-specific mailings;

  • Provide educational opportunities for stewardship best practices.

Actively manage approximately 35 donors in permanent stewardship, including being a Vanderbilt representative with donors.

Research both endowed and non-endowed funds as assigned by the Senior Director of Stewardship.

Expand contact via stewardship mailings and events with existing donors to improve and strengthen relationships.

Initiate and manage supplementary written communication to donors as appropriate.

Support annual stewardship activities, including stewardship of endowed funds, major donors and ad hoc stewardship requests.

Maintain and update information in the appropriate databases to ensure an accurate and ongoing record of funds.

Uphold departmental and institutional policies regarding confidential information.

Periodic evening and weekend work may be required.

Work cooperatively with DAR colleagues and develop strong working relationships with other University offices.

Perform other duties as assigned.

Job requires Bachelor's and 4 years of experience or the equivalent.

Preferred Education, Skills, and Experiences:

  • Experience in developing and implementing donor-centered stewardship initiatives.

  • Knowledge of software programs such as Access and other applicable programs specific to development is highly desirable.

  • Superior organizational skills, verbal and written communication skills, and the ability to articulate the needs, interests and accomplishments of Vanderbilt University to important constituencies are required.

  • Have the capacity to perform in an intellectually rigorous and complex academic environment.

  • The ability to apply sound judgment skills in all situations, especially related to management, donor relationship building and budget

  • A detailed working knowledge of Vanderbilt University is preferred, and an ability to assemble data is important.

  • Meticulous attention to detail is a must.
