The Department of Development and Alumni Relations (DAR) assists Vanderbilt University in securing the resources, both human and financial, that are required to achieve its mission and goals. The Department is responsible for the identification, cultivation, solicitation and stewardship of individuals and organizations whose charitable objectives are consistent with those of Vanderbilt University teaching and research programs. In support of its purpose and in response to existing and emerging needs of Vanderbilt University, DAR is seeking a Chapter Liaison within the Alumni Relations department.

The Chapter Liaison is responsible for managing assigned Vanderbilt alumni chapters and their volunteers. This also includes overseeing the planning and implementation of Vanderbilt Alumni Association events and programs in those cities. The position also serves as the primary liaison to the Undergraduate Admissions Office and to volunteers of the CoRPs (Commodore Recruitment Programs).

Specific Duties Include:

Chapters

  • Manage assigned Chapter volunteers by providing guidance, motivation, and training for chapter volunteers.

  • Identify, recruit and retain alumni volunteer leadership for steering committees/leadership positions; serve as resource for volunteer opportunities and development.

  • Manage volunteers to maximize their meaningful involvement with Vanderbilt and develop a volunteer leadership pipeline

  • Communicate effectively with volunteers, identifying problem areas, administering solutions, and providing tools/resources

  • Continue development of guidelines/roles/responsibilities for the standard operations of Chapters.

  • Assist with the planning of the Chapter Leadership Conference held on-campus annually for key Chapter volunteers.

  • Oversee the stewardship of the volunteers for future alumni leadership roles.

  • Assure accuracy of reports on volunteer engagement

  • Work with other Chapter liaisons to develop ways to regularly recognize volunteer contributions and thank them for their service to Vanderbilt (e.g., recognition events, special cards and gifts, thank you letters)

CoRPs

  • Serve as primary alumni relations liaison with the Undergraduate Admissions Office for the Commodore Recruitment Programs (CoRPs)

  • Serve as the alumni relations contact for the Alumni Interviewing program

  • Work with undergraduate admissions staff to plan Vanderbilt and You Programs for admitted students. (Coordinate all invitations, both paper and electronic, as well as specific event logistics such as location, registration, local alumni volunteers, scheduling admissions representatives and program flow).

  • Coordinate congratulatory contact between admitted students and alumni in their city.

  • Work with other Chapter liaisons to develop ways to regularly recognize volunteer contributions and thank them for their service to Vanderbilt (e.g., recognition events, special cards and gifts, thank you letters)

  • Other duties as assigned

Primary skills required:

Preferred Skills, and Experiences:

  • Experience identifying, recruiting and managing volunteers is a plus.

  • Excellent oral and written communication skills.

  • Must possess strong organizational skills and be detail oriented with a demonstrated ability to prioritize multiple projects.

  • Strong interpersonal skills and ability to maintain solid working relationships with alumni volunteers and partners across the University.
