Provide focus and leadership for the university major gifts program, working closely with major gift fundraisers on the development, implementation, tracking and revision of strategies for gifts between $100,000 and $1,000,000. Possess a clear understanding of the university’s philanthropic priorities and lead the effort to increase the pipeline for the university’s major gifts. Focus on prospect pools and pipelines through managing relationships with a portfolio of fundraising and engagement teams in DAR. Work collaboratively with appropriate DAR staff members whenever prospective major gift donors have giving interests in multiple areas.

Coordinate DAR’s prospect management policies and procedures. In conjunction with Information Management (IM), produce and distribute reports analyzing data within the DAR prospect management system. Act as project manager on fundraising portfolio review requests at the individual and team levels.

Primary Responsibilities

Major gifts

  • Provide guidance to gift officers on portfolio management and works closely with them to ensure they are effectively moving prospects through the fundraising pipelines.

  • Work collaboratively with the university major gift fundraisers and Director, Office of Prospect Management, to formulate strategies, planning and executing projects, and providing prospect information to enhance the pool of prospective individual donors.

  • Develop new fundraising portfolios designed to realize the potential of assigned teams’ constituent pools, prospect pools, and proposal pipelines

  • Coordinate with Research and Prospect Development (RPD) team on prospect review meetings with the university DOs to ensure an understanding of prospect management goals/objectives, consult on strategy and provide prospect management updates.

  • Collaborate with RPD to identify previously undetected $100,000 and higher prospects for the university; develop strategies to effectively target new major gift prospects and distribute to DOs for cultivation and solicitation. Track and evaluate DO activity on major gift referrals.

  • Collaborate appropriately with development colleagues as prospective major gift donors have giving interests in multiple areas.

Prospect management

  • Possess a sophisticated working knowledge of the needs of DOs and the development process to include the seven stages: identification/qualification; early cultivation; advanced cultivation; ready for proposal; closing; stewardship; and permanent stewardship.

  • Ensure compliance with prospect management policies and procedures while maintaining integrity of prospect management system.

  • Demonstrate a solid, detailed knowledge of the university’s prospect pool, prospect management business processes, and the proper use and function of prospect information in the database.

  • Recommend changes to enhance innovation, objectives and goals of prospect management.

  • Review all prospect management requests for assignment in liaison areas

  • Lead prospect management system orientation/training for new DAR employees

Analysis and data integrity

  • Proactively initiate projects designed to discover and analyze new and emerging prospect segments

  • Use data visualization techniques as required to analyze and describe groups of prospects or constituents

  • Manage the planning and execution of projects related to analysis of fundraising teams portfolios. Assist DAR senior leadership with analysis on overall portfolio movement, health and viability.

  • In conjunction with Information Management (IM), develop and prepare monthly reports for DAR leadership team to track university development major gift prospect activity.

  • Direct the prospect tracking and moves management program for the university prospects rated $100,000 and higher by reviewing/analyzing contact reports, changes in prospect records and proposal status.

  • Provide prospect management oversight on wealth screening results/analysis, including pool analysis, distribution, tracking and follow-up of potential $100,000 or higher screened prospects to the university DOs.

  • Ensure accuracy of appropriate prospect stages and proposal statuses in database by working closely with the university DOs.

Preferred Skills and Experiences

  • Five years of relevant experience

  • Vanderbilt University Development and Alumni Relations experience preferred

  • Frontline fundraising experience preferred

  • Ability to manage/maintain prospect management system and ensure compliance with policies/procedures

  • Exceptional database skills preferably with Ellucian Advance
