About the Position:
The Program in Classical & Mediterranean Studies, in the College of Arts and Science, is seeking an Administrative Assistant I. This position is located in Cohen Memorial Hall and will report directly to the Senior Administrative Officer. The primary responsibilities include general administrative duties, purchasing supplies, booking travel, organizing events, and monitoring department budget and spending. The position requires thorough knowledge and understanding of University policies and procedures.
About the Work Unit:
The Program in Classical and Mediterranean Studies offers students an interdisciplinary perspective on the culture and history of a region at the crossroads of civilization since antiquity. Classical & Mediterranean Studies offers courses in the history, religion, art, philosophy, legal systems, literature, mythology, social and cultural developments of antiquity. The program currently offers three majors including Concentration in Classical Languages, Classics, and Classical Civilization.
Monitor program budget and spending
Maintain and coordinate confidential material (ex. tenure and promotion files, reappointments etc.)
Event planning for guest speakers and lecture series
Book travel for guests and arrange complex itineraries (ground transportation, meals, meetings etc.)
Purchase office supplies
Maintain the website
Prepare expense reimbursements for guests, faculty and students
Advertise open faculty positions in various publications and maintain each applicant's file
Enter hiring information, in Oracle, for new personnel (students)
Gather hiring information for new faculty
Manage student worker
Work closely with the Director of the Program
Additional duties as assigned
This position does not have supervisory responsibility. The position reports functionally and administratively to the Senior Administrative Officer.
Experience and Skills:
A high school diploma or GED and 4 Years of experience is required.
A Bachelor's degree from an accredited institution of higher education is preferred.
Ability to communicateeffectively, both orally and in writing is preferred.
Ability to gather data, compileinformation, and prepare reports is preferred.
Records maintenance skillsare preferred.
Ability to gather and analyzestatistical data and generate reports is preferred.
Ability to maintain calendarsand schedule appointments is preferred.
Database managementskills is preferred.
Ability to analyze and solveproblems is preferred.
Word processing and/or dataentry skills is preferred.
Ability to create, compose, andedit written materials is preferred.
Organizing and coordinatingskills is preferred.
Knowledge of general accountingprinciples are preferred.
Ability to record andtranscribe meeting minutes is preferred.
