Position Summary :
The Assistant Director is a critical member of the team launching a new trans-institutional Data Science Institute being created under the Office of the Provost at Vanderbilt University. This new role is a key leadership position that entails working with institute faculty leadership on all aspects of the development of the institute. The Assistant Director will be responsible for managing the administrative team of the institute and will report directly to one of the two co-directors. Key responsibilities include working on the following: planning and executing the research activities of the institute, planning and launching the new Masters in Data Science degree program, managing the institute budget, and representing the institute both internally at Vanderbilt and externally to government, non-profits, and industry.
About the Work Unit :
The Vanderbilt Data Science Institute is a new trans-institutional research and educational center that is was launched with funding from the Data Science Visions TIPs VRA grant. The goals of the institute are to support data-intensive research at Vanderbilt, launch new educational tracks in data science, and connect to government, industry and non-profits. Organizationally, the institute falls under the Office of the Vice Provost for Research.
Key Functions and ExpectedPerformance:
§ Manage the day-to-day operations of the institute, including planning and executing events.
§ Assist in the building and management of marketing materials, website, and social media.
§ Assist in the management of Master’s program applications, including communication with applicants. Assist in the processing of admissions to the Master’s program.
§ Lead the daily operation of the Master’s program, including scheduling courses and communicating with students.
§ Manage the institute budget by tracking expenditures and ensuring proper reporting.
§ Approve financial transactions in the SkyVU system, including procurement requisitions, travel and entertainment expense reports and procurement card expense reports.
§ Assist in the hiring, training, supervision, and development of data science institute administrative personnel.
§ Work with the Provost’s office and Human Resources for hiring, training, and personnel issues.
§ Comply with Federal and State employment laws, as well as Vanderbilt policies and procedures.
Liaison with internal and external parties
§ Build and maintain strong working relationships within the institute, the Office of the Provost, the Graduate School, Human Resources, and other units within VU and VUMC.
§ Build and maintain strong relationships with local government, non-profit agencies, and local industry.
Supervisory Relationships :
This position will have supervisory responsibility. The assistant director will manage the administrative team of the institute. This position reports administratively to one of the two co-directors of the institute and functionally to the two co-directors and the director of graduate education.
Experience and Skills :
§ A Bachelor’s degree from an accredited institution of higher education is necessary.
§ At least three years of experience in University administration is necessary.
§ Experience managing graduate programs, including managing admissions in Slate, is strongly preferred.
§ A Master’s degree from an accredited institution of higher education is preferred.
§ Experience managing academic financials/budgets is preferred.
§ Experience building and maintaining marketing materials and social media is preferred.
§ Excellent oral and written communication skills are preferred.

Job requires Bachelors and 4 Years of experience or the equivalent.
