Position Summary

Provide administrative support for the development team; manage daily office operations; handle budgetary and personnel activities; respond to donor needs in consultation with the Associate Dean and other staff. This position reports to the Associate Dean of Development.

Key Functions and Expected Performance:

Project Management

  • Prioritize multiple projects based on deadlines

  • Conduct research assignments on prospects to include Advance profiles; summarize findings

  • Assist with events, communication efforts, and stewardship activities

  • Assist with proofing documents

  • Run metrics reports for development officers

Administrative Responsibilities

  • Provide administrative support to three development staff members.

  • Receive incoming calls and handle various inquiries from high-profile donors.

  • Assist with travel planning and scheduling appointments as needed

  • Compile travel packets for each development officer consisting of the itinerary, reports, and necessary paperwork

  • Provide customer service to prospects, donors, faculty, and staff

  • Process expense requests for development officers

  • Maintain detailed working knowledge of Microsoft Office applications, ADVANCE, OBIEE and RADAR reporting systems

  • Assist with the maintenance of office files

  • Handle data entry as directed and file contact reports

  • Maintain bio updates

  • Perform other duties as assigned

Education and Certifications

High school graduate and one year of relevant experience, or the equivalent, is required

Experience and Skills

  • Advanced proficiency with Microsoft Word, Excel, Outlook and PowerPoint

  • Prefer one or more years of administrative experience

  • Strong interpersonal and phone skills

  • Ability to perform and manage multiple projects on a regular basis

  • Effective oral and written communications skills

  • Strong time management and organizational skills

  • Ability to work independently and as part of a team

  • Some evening/weekend work as needed.
