DAR Assistant, Law School (Job Number: 1801520)


Provide administrative support for the development team; manage daily office operations; handle budgetary and personnel activities; respond to donor needs in consultation with the Associate Dean and other staff. This position reports to the Associate Dean of Development.

The Department of Development and Alumni Relations (DAR) assists Vanderbilt University in securing the resources, both human and financial, that are required to achieve its mission and goals. The Department is responsible for the identification, cultivation, solicitation, and stewardship of individuals and organizations whose charitable objectives are consistent with those of Vanderbilt University’s teaching and research programs.

Duties and Responsibilities


  • Compiledata, monitor office budget and maintain current/accurate records

  • Research,resolve and justify any budgetary discrepancies


  • Prioritizemultiple projects based on deadlines

  • Produceweekly gift reports. Send the Dean’s acknowledgement list to the assistant tothe Dean in order for donors to receive thank you letters signed by the Dean

  • Conductresearch assignments on prospects to include Advance profiles; summarizefindings

  • Assistwith events, communication efforts, and stewardship activities

  • Monitorand manage class notes for e-newsletters and magazines.

  • Sendclass notes to the assistant to the Dean in order for alumni to receivecongratulations, condolences, etc.

  • Assistwith proofing documents.


  • Provideadministrative support to development and alumni relations staff members

  • Assistwith travel planning and scheduling appointments as needed

  • Compiletravel packets for each development officer consisting of itinerary, reportsand necessary paperwork

  • Providecustomer service to prospects, donors, faculty, and staff

  • Processexpense requests for development and alumni relations staff

  • Maintaindetailed working knowledge of Microsoft Office applications

  • Assistwith some logistics for the planning of events.

  • Maintainoffice files

  • Handledata entry as directed and file contact reports

  • Recordand submit all checks/cash received

  • Keeptrack of all bio updates (including all returned mail, alumni updates, andupdates found by DAR staff)

  • Receiveall incoming calls and handle various inquiries.

  • Performother duties as assigned

Educationand Certifications

High school graduate and one year of relevant experience, or the equivalent, is required

Experience and Skills

  • Advancedproficiency with Microsoft Word, Excel, Outlook and PowerPoint

  • Preferone or more years of administrative experience

  • Stronginterpersonal and phone skills

  • Abilityto perform and manage multiple projects on a regular basis

  • Effectiveoral and written communications skills

  • Strongtime management and organizational skills

  • Abilityto work independently and as part of a team

  • Someevening/weekend work as needed.
