About the Role:

The function of this position is to plan, coordinate, and execute events, represent the School of Engineering with industry partners, and support relationships with other entities both internal and external to the university. This position will report to the Director of Communications (External Relations) located within the School of Engineering Dean’s Office administration.

About the Work Unit:

The Vanderbilt School of Engineering is internationally recognized for the superior quality of its research and education programs in selected fields of engineering. The School seeks external relationships with industry, foundations, and government entities for the purpose of expanding its influence, raising its visibility, and contributing to the engineering profession. The School’s primary mission is to prepare students of all backgrounds to become leaders and innovators in solving increasingly challenging and significant problems, and to recruit, and hire a diverse faculty to create new knowledge through research, mentorships and teaching.

Key Functions and Expected Performance:

Plans, develops and executes programs and events to meet established goals, objectives and timelines. Will and support of undergraduate research experiences.

  • Represents the School of Engineering with utmost professionalism with regard to industry, foundation, and other relationships (both internal and external to the university)

  • Provides significant support services for the bi-annual Board of Visitors meetings, VUSE Summer Research Program, and other activities as assigned

  • Assists with visits of important school guests and invited lecturers including travel arrangements and developing meeting itineraries with key stakeholders

  • Acts as a liaison for the event or program/service by answering inquiries, providing information, and addressing concerns

  • Conducts research as needed to find relevant information about involved parties, ranging from creating mutually beneficial relationships to supporting the events listed above

  • Plans and leads the execution of the event or program/service

Develops the overall logistical plan necessary to successfully carry out the event or program/service.

  • Plans the timeline for the set up and breakdown of events

  • Oversees and recruit student workers and interacts with internal and external staff support throughout all phases of events and programs

  • Maintains appropriate documentation of the event or program/service to ensure compliance with Vanderbilt policies and procedures, as well as those of the funding source, if external

  • Assist with social media and website maintenance as appropriate

  • Work with the Deans Office staff regarding HR components with particular events

  • Work with other on-campus partners on industry related activities

Provides budgetary management to the event or program/service

  • Creates the budgetary proposal for the event or program/service and secures necessary approvals

  • Has responsibility to ensure that the event or program/service is executed on or under budget

  • Makes purchases and requisitions items needed

Supervisory Relationships :

This position does not have supervisory responsibility; this position reports administratively and functionally to the Director of Communications

Education and Certifications:

  • Bachelor’s degree required, Master’s preferred

Experience and Skills :

  • 3 - 5 years of experience or the equivalent

  • Strong organizational skills

  • Professional and pleasant attitude with considerable tact, diplomacy, and judgment in interactions with students, faculty, and staff

  • Strong critical thinking/ problem solving skills

  • Experience working with senior leadership

  • Experience working in a higher education/ academic setting preferred

  • Experience coordinating programs in a university setting

  • Experience handling travel arrangements

  • Proficient in Microsoft office, Adobe, and have database experience

  • Comfort with new technological systems. Adapts easily to changes in technology and processes

  • Ability to work on multiple projects simultaneously
