Position Summary :

The Financial Unit Manager (FUM) is part of the Office of the Dean of Students at Vanderbilt University and is a key individual contributor responsible for the financial stewardship for 17 departments within the Office of the Dean of Students. This position ensures that all transactions are recorded accurately and are in compliance with applicable university and departmental policies. Reporting directly to the Chief Business Officer, the FUM serves as a key departmental contact on Vanderbilt policy and process questions.

The Financial Unit Manager advises and interprets policies to staff and external entities; explains billings and reports, and resolves related problems. The position monitors systems and procedures to ensure compliance with accounting principles, University, State, and Federal regulations, and audit requirements.

The Office of the Dean of Students (DOS) serves a central role in student learning and development at Vanderbilt, advancing the University’s mission of teaching, research, and service by fostering academic and social networks through which students develop as intentional learners and global citizens. The Office of the Dean of Students creates opportunities to involve students, faculty and staff in diverse learning communities and provides a critical support structure for enriching the overall student experience. Key Functions andExpected Performance:

  • Approves all financial transactionsfor assigned financial unit(s) in the Oracle Cloud, including procurementrequisitions, travel and entertainment expense reports and procurementcard expense reports.

  • Maintains an extensive understandingof Vanderbilt financial systems, the institution's chart of accounts anddepartmental use of optional segments and Project Portfolio Management(PPM) POET structure.

  • Processes all Intercompanytransactions for DOS through Oracle, including all internal reservationsmade for the space managed by DOS. Work closely with the Officeof Reservations and Events to ensure timely and accurate processing.

  • Maintains extensive understanding ofinstitutional and departmental policies. Uses excellent professionaljudgment and integrity to evaluate the appropriateness of expenditures andpossesses the maturity and confidence to address questionable transactionseither directly or escalate if needed. Uses high attention todetail to ensure every component of a requisition or expense report isaccurate prior to approval.

  • Builds and maintains strong working relationshipsin the area and with centralized Finance team members. Establishes,communicates, and modifies departmental processes in response to changesin university policies and procedures. Expected to serve as a key contactthroughout DOS on Oracle systems and processes. Participates inrecurring meetings, trainings and round table discussions to allowopportunities for SkyVU Financial Unit Managers across campus to learnfrom each other.

  • Analyzes and streamlines businessprocesses. Works with the other members of the DOS Finance Team onprojects, process improvements, and trainings for staff working in theOffice of the Dean of Students. Must be deadline oriented, techsavvy and adapt easily to changes in technology and processes. Other miscellaneousadministrative, financial and HR related tasks as assigned.

SupervisoryRelationships :

This position does not have supervisory responsibility; this position reports administratively and functionally to the Chief Business Officer.

Education andCertifications:

  • A Bachelor’s degree from an accredited institution ofhigher education is necessary.

Experience and Skills :

  • Three years of related experience is necessary.

  • Expertise in Excel, Word and PowerPoint isnecessary.

  • Strong interpersonal and communication skills and theability to work effectively with a wide range of constituencies in adiverse community is strongly preferred.

  • Skill in the use of computers, preferably in a PC,Windows-based operating environment is necessary.

  • Skill in organizing resources and establishingpriorities is strongly preferred.

  • Ability to effectively communicate accountinginformation, policies, and/or procedures in a manner easily understood bythe customer is preferred.

  • Knowledge of finance, accounting, budgeting, and costcontrol procedures is preferred.

  • Knowledge of university and/or public auditingpolicies, standards, and procedures is preferred.

  • Strong project management and financial modelingskills is preferred.
